If your final guest count is 100 and the BEO shows meals for 90, that is a red flag. Ask for an update in writing.

2. Are all dietary restrictions documented? 

Vegan, gluten-free, kosher, halal, and allergy notes should appear on the BEO with specific dish assignments, not buried in a comments field.

3. Are staffing ratios explicit? 

Wedding pros typically recommend one server per 20 guests for a plated meal and one bartender per 75 guests. The BEO should specify who is coming and when.

4. Are setup details and arrival times realistic? 

A four-hour reception typically needs two to three hours of setup and one to two hours of breakdown. The event timeline should reflect that.

5. Is every fee itemized? 

Service charges, delivery fees, rental costs, and gratuity should be listed separately. A single lump sum is not enough for a real BEO.

6. Is contact information listed for the day-of lead? 

You should know exactly which event coordinator or event manager to call if anything comes up during the event.
